What's inside the template

  • Business header — your name, license number, phone, address and email, so the quote looks legitimate at a glance.
  • Quote number, date and valid-until date — a deadline nudges customers to decide instead of shopping your price around for a month.
  • Line items split the way plumbers actually price — a service call / diagnostic fee row, a labor row, and a materials & parts row, plus blank rows for extras.
  • Deposit box — a highlighted "deposit required to book" line, because unpaid deposits are how jobs fall through.
  • Terms & customer signature — scope, warranty and payment methods, with a sign-off line that turns a quote into an agreement.

What a plumbing quote should include

Homeowners compare two or three quotes on most jobs. The quote that looks organized usually wins even when it isn't the cheapest, because it signals you'll run the job the same way. Make sure every quote covers:

  1. Who you are — business name, license number and contact info. In most states a license number on written estimates is required for plumbing work.
  2. The exact scope — "replace 40-gal gas water heater, haul away old unit, new supply lines and pan" beats "water heater work". Vague scope is where disputes start.
  3. Itemized pricing — separate the service call fee, labor and materials. Customers accept a number they can see the parts of.
  4. The deposit and payment terms — how much to book, when the balance is due, and what payment methods you take.
  5. A valid-until date — protects you from material price swings and gives the customer a reason to decide.
  6. Warranty — how long you stand behind the labor. It's a selling point; put it in writing.

Three tips before you send it

1. Always ask for a deposit

A deposit filters out price-shoppers and covers your materials. Most plumbers ask for 25–50% on small jobs or a fixed amount on larger ones — but check your state's rules, since some states cap deposits on home improvement contracts. More on this in how much deposit should a plumber charge?

2. Send it the same day

Quotes sent within a few hours of the site visit close at a much higher rate than quotes sent "by the end of the week". If you're filling this template out by hand, snap a photo and text it before you leave the driveway.

3. Put your payment terms in writing

When the balance is due, what happens if it's late, and which payment methods you accept. See how to word payment terms on a plumbing invoice for copy-paste examples.
